Privacy Policy

This policy explains what data AireyAi collects and how we use it across all of our services — websites, Meta ads management, the Aria AI receptionist, lead generation, pay-per-lead, and content production.

1. Who we are

AireyAi is an AI-native growth agency based in Carlisle, Cumbria, United Kingdom. We provide: bespoke websites; Meta (Facebook & Instagram) ads management; Aria, an AI receptionist (chat and voice); lead generation via managed cold email; pay-per-lead (exclusive local leads, delivered through our Tradesly engine); and content production (video, UGC and imagery). We are the data controller for our own website and a data processor on behalf of our clients for several of the services below.

2. What data we collect, and why

Website visitors (aireyai.co.uk)

  • Basic, privacy-friendly analytics (page views, referral source) — no advertising trackers on this site.
  • Information you submit through our enquiry and brief forms (name, business, email, phone, project details), used only to respond to you.

Aria — AI receptionist (chat & voice)

When a member of the public interacts with Aria on a client's website or phone line, we process the chat messages or call audio, any name and contact details shared, and session metadata (timestamp, page or number), so Aria can answer, qualify the enquiry and book the job for the business. Voice calls may be transcribed to deliver and improve the service. We act as a processor for the business that owns the line.

Aria business clients — Google connection

When a client connects their Google account to Aria, we request: Gmail read (to draft replies), Gmail send (to reply from their address), Gmail modify (to mark handled emails read), and Google Calendar (to create bookings). See section 7 for our Google API commitments.

Meta Ads clients

  • We take scoped Partner access to the client's own Meta Business Manager and ad account — the client owns the account and payment method; we never own it or share a login.
  • We help configure the Meta Pixel / Conversions API on the client's website, which sends standard website-event data (e.g. page views, leads, purchases) to Meta to measure and optimise ads. This is governed by the client's own site consent banner and Meta's terms; visitors can opt out via cookie consent.
  • Ad performance and audience data is accessed to run and report on campaigns.

Lead generation (cold email)

  • For clients, we process business contact data of prospects (business name, role, work email, company info) sourced from public and licensed B2B sources, to send relevant business-to-business outreach on the client's behalf. Lawful basis: legitimate interest (B2B marketing), balanced against the recipient's rights.
  • Every message includes a clear way to opt out; opt-outs are suppressed permanently. We honour suppression and do not email people who have asked us to stop.

Pay-per-lead (Tradesly)

  • Where a member of the public submits an enquiry on one of our lead-generation pages, we collect the details they provide (name, contact details, postcode/area, and project description) for the sole purpose of connecting them with a relevant local tradesperson who can quote for the work. We tell people their details will be passed to a vetted local business.
  • For trade buyers, we hold account and billing information needed to deliver leads and operate the service.

Content / Studio clients

We process brand assets, product information and briefs supplied by the client to produce content. We do not collect personal data from the public for this service.

3. How we use your data

  • To deliver the service you or our client engaged us for — and nothing unrelated.
  • AI processing. Aria chat/email text is sent to Anthropic's Claude to generate responses; it is not used to train AI models. Email content is read to draft replies and detect bookings and is not stored beyond the active session.
  • Measurement & reporting of ads and campaigns for the client.
  • To respond to your enquiries and provide quotes.

4. Who we share data with

We do not sell personal data. We share it only with the processors and parties needed to run each service:

  • Anthropic — AI processing of Aria chat/email text.
  • Google — Gmail & Calendar APIs for Aria (on the client's behalf).
  • Meta — for ads management and Pixel/Conversions-API measurement on the client's behalf.
  • Email-sending infrastructure providers — for lead-generation delivery and deliverability.
  • The client / purchasing business — leads, enquiries and transcripts are made available to the business they were generated for; pay-per-lead enquiries are passed to the local tradesperson who receives the lead.
  • Hosting & infrastructure (e.g. Railway, Cloudflare) — to operate our platforms securely.

5. Lawful bases (UK GDPR)

  • Consent — Pixel/advertising cookies on client sites (via their consent banner); Google connection for Aria.
  • Legitimate interests — B2B lead-generation outreach; answering enquiries; securing and improving our services.
  • Contract — delivering the services our clients have engaged us for.

6. Data retention

  • Aria chat/lead data: up to 90 days for lead tracking and quality, unless the client requires otherwise.
  • Email content (Aria): read, processed and discarded in real time — not stored.
  • Lead-generation prospect and suppression data: kept while the campaign runs; suppression (opt-out) records kept as long as needed to honour the opt-out.
  • OAuth tokens: while the Google account stays connected.
  • You can request deletion at any time (section 7).

7. Your rights

Under UK GDPR you have the right to access, correct or delete your data, to object to or restrict processing, to data portability, and to withdraw consent at any time. To exercise any right, email kyle@aireyai.co.uk. You can disconnect a Google account at any time via Google Account Permissions. You can also complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

8. Google API services

AireyAi's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: we only use Google data for the purposes described here; we do not transfer it to third parties except as necessary to provide the service (AI processing by Anthropic); we do not use Google data for advertising; and we do not allow humans to read your Google data unless you give explicit consent, it is required for security, or required by law.

9. Security

All data in transit uses HTTPS encryption. OAuth tokens and sensitive data are stored on secure, access-controlled infrastructure. We follow industry-standard practices and grant access on a need-to-know basis.

10. Cookies

Our own website uses only essential cookies/local storage — no advertising or third-party tracking cookies. Client websites we build may use a consent banner where advertising pixels are installed; those are controlled by the client and your choices there.

11. Changes

We may update this policy from time to time; changes are posted here with a new date.
